Job Description

STEM Flights is a non-profit organization that provides qualified Students no-cost, customized aviation education and flight experiences to facilitate learning in Science, Technology, Engineering and Math (STEM). Our mission is to create positive experiences in general aviation, and inspire America's youth to pursue STEM careers.


The Operations Manager will manage operational activities including expansion of the STEM Flights Program nationwide, administrative duties, program mission support, system coordination, and other activities assigned by the executive director. This is a full-time, competitively compensated position. The Operations Manager will work remotely, and some travel will be required to attend meetings and/or events.


Specific roles and responsibilities will include:

  • Manage volunteer pilots, including checking credentials, tracking training progress, reporting data on conversion rates, assisting volunteers who need help, and providing customer service. 

  • Manage student applicants, including checking letters of recommendation, application process, answering questions from parents, and providing customer service. 

  • Connect volunteer pilots with approved students across the United States through email and phone. This includes managing details of flight missions, communicating with parents and pilots, managing mission checklists and follow up. 

  • Provide support after flight missions including admission to STEM Flight Following™ program, annual survey administration to students, volunteer feedback, and continuing resources. Closing flight plans and updating the system with notes about each mission. 

  • Update and manage data about missions, volunteers, students, and parents. Analyze data and provide reports when needed. Using data to improve organizational procedures and volunteer experiences.

  • Provide customer support to parents, pilots, educators, donors, and volunteers. 

  • Work closely with the Director of Development to identify new geographic locations for expansion. Provide detailed information about volunteer and student locations to increase growth in new areas. 

  • Work with team to manage internal compliance for organization, ensuring documentation, policies, and procedures are current and meet national safety regulations and standards for industry.

  • Administrative tasks including document creation, spreadsheet management, content creation, financial information, marketing support, presentation design, editing, and data reporting.

  • Support & attend select STEM Flights special events, trade shows, conferences, virtual meetings, and presentations. 

  • Assist the Director of Development with grant proposal creation and submission, donor management, and financial reporting. 


The ideal candidate is self-motivated, has excellent communication skills, is experienced with project management and administrative software systems (Microsoft Office, Google Suite), and able to work with database-driven customer relationship management (Salesforce) and virtual meeting platforms. Bachelor's Degree or relevant work experience required. Nonprofit experience and/or an education background is desirable. Aviation knowledge is a bonus, but not required.

This is a full-time staff position that can be done remotely. Compensation range is $40,000 to $50,000 annually depending upon experience. Benefits are not offered for this position. 

We are looking for an Operations Manager with the following skills:

  • Is a confident self-starter; able to work independently and run the operations for a nonprofit organization

  • Has excellent communication skills and is able to engage professionally with Pilots, Educators, and potential donors & sponsors. 

  • Strong organizational and logistics skills with knowledge of spreadsheets and other software tools

  • Has technological capacity, is skilled and able to work with new and changing data systems. Can recommend new systems to improve existing internal procedures.

  • Able to monitor and track the conversion process from registration, to pilot deployment, to mission deployment, to engaging with students and teachers, to moving students into post-flight programs. 

  • Supports recruitment, logistics, and expansion of the organization.
